Upload Completion Records

As an administrator, you can upload course completion records to LearnSpace from a CSV file. This will mark the user/s as complete and provide a 'certified' status if the course record is in date. Any courses that do not exist in the current system will be created as evidence.

Upload completion records

  1. To access the upload area, go to Site administration (cog) > Courses > Upload Completion Records > Upload Course Completion Records.
  2. The CSV import file is created outside of LearnSpace and imported. The CSV file should contain the following columns in the first line of the file:
    • username: The username from the learner’s profile, e.g. email address
    • courseshortname: The course short name found on the Course settings page.
    • courseidnumber: The course id number found on the Course settings page.
    • completiondate: The date the learner completed the course. The date format can be specified in the upload settings, e.g. dd/mm/yyyy
    • grade: The grade the learner received in the course, e.g. 100
  3. You can drag and drop the file onto the page or click the Choose a file button to select the CSV file.
  4. You will ordinarily not need to change any of the course upload default settings, but they are listed below for your information:
    • Default evidence type: Any courses or certificates which can't be found will be added as evidence in the record of learning. Please choose the default evidence type you wish to use.
    • CSV Date format: Select the format dates will use, e.g. dd/mm/yyyy
    • CSV Grade format: Select the grade format used (see more detail below), e.g. percentage
    • CSV Values separated by: Select the delimiter used in the file. Comma, semi-colon, colon or tabs can be used.
    • CSV Text Delimited with: Select the delimiter used for text values. Single quote, double quote or no delimiter can be used.
    • CSV file encoding: Select the type of encoding used for the file.
    • Override current course completions: Check this if you want the uploaded course completions to replace the existing course completion records.
    • Case insensitive shortnames: When enabled, course short names will be matched case insensitively.

  5. Click the Upload button.

  6. View the Course Import Report to check the status of your uploaded completion records.


Course import report

This section will show the outcome of any course import and will log any errors. This allows you to ensure that all records have been successfully imported and the data can then be exported in a range of formats.

Import reports include imported data and the line number, errors encountered, whether an item was imported as other Evidence (appears on the Other Evidence tab of the learner’s My Learning > Record of Learning) and when the import file was uploaded.

Import errors

Possible causes of import errors include:

  • Username not found
  • Incorrect date format

 

Record/s imported as evidence:

If the Course Import Report shows a record as "Imported as evidence - Yes" this means that the course shortname/idnumber given in your CSV file does not match a course in your LearnSpace site. To mark the user as complete on an assigned course, reupload the records using the correct course shortname/id references.
